Privacy Policy

OkDukan ("we", "our", "us") provides a mobile application and a web storefront that let store owners run their business โ€” products and stock, orders, invoices and estimates, payments, customers and suppliers, expenses and reports โ€” and let shoppers browse and order from those stores. This policy explains what information we collect, why, and the choices you have. By using OkDukan, you agree to the collection and use of information as described here.

1. Who Holds What

OkDukan handles two different kinds of information, and it matters which is which.

Your own account data

Your name, email, phone, store details and settings. We hold this to give you an account and run your store, and we are responsible for it.

Data you enter about other people

The customers you save, the suppliers you add, the people you invoice. You decide what to record and why. We simply store and process it on your behalf so the app works โ€” we do not use it for our own purposes, and we do not contact your customers. 2. Information We Collect

Account

  • Name, email address and phone number when you register, sign in, or sign up via Google Sign-In.
  • Profile photo, if you choose to add one.
  • Password (stored only as a secure hash โ€” we never see or store it in plain text).

Store & storefront

  • Store name, username, logo, store type and brand colour.
  • Storefront appearance settings โ€” the layout template you pick, plus font, corner style, site width, button style and any announcement bar text.
  • The currency your store trades in.
  • Promotional banners you upload, including any scheduling dates and the product, category or link each banner points to.

Catalogue & inventory

  • Products you create โ€” names, descriptions, prices, MRP, SKUs, units, stock levels, low-stock thresholds and photos you upload.
  • Categories and collections you use to group products.
  • Stock adjustments, including the quantity changed and the reason you give, kept as a record of corrections.

Orders & delivery

  • Order details โ€” items, quantities, prices and status, plus the history of status changes.
  • Delivery address and contact phone number, used to fulfil and communicate about an order.

Customers you save

  • Customer name, phone, email, billing address, city, tax registration number (such as GSTIN) and any notes you add.
  • Which invoices and payments are linked to that customer, so you can see what they've bought and what is outstanding.

Invoices, estimates & payments

  • Invoice and estimate records โ€” number, line items, quantities, sub-total, discount, tax, shipping, total, currency, notes, and issue, due and paid dates.
  • The customer name, phone and billing address printed on a bill.
  • Payments you record โ€” amount, method (for example cash, UPI, card or bank transfer), a reference you type in, status and date.

Money & bookkeeping

  • Expenses โ€” title, category, amount, payment method, notes and date, and the supplier it relates to.
  • Wallet entries โ€” amount in or out, running balance, type, reference and notes.
  • Reports are generated on request from the data above; we do not keep a separate copy of a report.

Suppliers & purchasing

  • Supplier name, phone, email, tax registration number, address and notes.
  • Purchase orders โ€” items, quantities, costs, status and what has been received.

Offers & greetings

  • Coupons you create โ€” code, discount, validity dates, usage limits and how many times a code has been used.
  • For greetings, we record only which occasion you shared and when. We do not store the message you sent or who you sent it to.

Device & usage

  • A push-notification token (via Firebase Cloud Messaging) so we can deliver order and stock alerts to your device.
  • Basic device and app information (app version, device type) for troubleshooting and reliability.

3. What We Never Collect

  • No card or bank credentials. Recording a payment stores an amount, a method and a reference you type in yourself. We never ask for, receive or store card numbers, CVVs, PINs, UPI PINs or bank login details.
  • No background location. The app does not track where you or your device are. Addresses exist only because you or your customer typed one in.
  • No contact list access. We do not read your phone's contacts. Customer and supplier details are only what you enter.
  • No message content. When you share a bill or greeting, the message goes through the app you choose. We do not see or keep it.
  • No advertising trackers. We do not sell your data and we do not share it with advertising networks.

4. Features That Stay On Your Device

Some parts of OkDukan run entirely on your phone. Nothing in this section is uploaded to us or passes through our servers:

  • Invoice PDFs. When you share an invoice as a PDF, the file is built on your device โ€” including your store logo and name โ€” and handed to your phone's share sheet. We never receive a copy.
  • Report exports. Copying a report puts it on your device clipboard for you to paste wherever you like.
  • WhatsApp and share-sheet messages. Notifying a customer opens your own messaging app with the text pre-filled. You choose whether to send it, and the message is handled by that app under its own privacy policy.
  • Store link copying. Copying your storefront link writes it to your clipboard, nothing more.

Once you hand something to another app โ€” WhatsApp, email, a file manager, a printer โ€” that app's own privacy policy applies to it, not ours.

5. How We Use Your Information

  • To create and maintain your account and store.
  • To process, track and update you on orders.
  • To produce invoices, estimates and receipts, and to keep your outstanding balances correct.
  • To keep stock levels, expenses, wallet entries and reports accurate.
  • To send you notifications about new orders, order status changes and low stock.
  • To operate and display your public storefront to your customers.
  • To apply coupons and enforce their validity and usage limits.
  • To provide customer support and respond to your requests.
  • To improve app reliability, performance and security.

We do not use the customer or supplier details you enter to market anything to those people, and we do not build advertising profiles from your business data.

6. How Information Is Shared

We do not sell your personal information. We share data only in these limited situations:

  • With your customers: if you run a store, your store name, logo, storefront styling, banners, collections and product listings are publicly visible on your storefront by design. Your private records โ€” customers, suppliers, expenses, wallet and reports โ€” are never shown there.
  • On documents you send: an invoice or estimate you share carries your store name and logo alongside that customer's own details, because that is what a bill is.
  • Through apps you choose: when you share a PDF or message, your device passes it to the app you pick. We do not store the content or route it through our servers.
  • Service providers: we use Google Firebase (authentication, push notifications, reliability data) and Google Sign-In to operate the app. These providers process data on our behalf under their own privacy and security commitments.
  • Legal reasons: if required to comply with a law, regulation or valid legal request.
  • Business transfer: if OkDukan is ever involved in a merger, acquisition or sale of assets, your data may transfer as part of it. We will tell you before that happens and before any new policy applies.

7. Data Storage, Retention & Security

Your data is stored on secured servers and, for authentication and notifications, on Google Firebase infrastructure. We use industry-standard measures โ€” encrypted connections (HTTPS), hashed passwords, scoped access tokens and access controls โ€” to protect your information. No method of transmission or storage is completely secure, so while we work hard to protect your data, we cannot guarantee absolute security.

How long we keep things. We keep your account and business records for as long as your account is active, because bookkeeping only works if the history stays intact. Financial records such as invoices, payments and expenses may be retained after you stop using the app where tax or accounting law requires it. Voided and cancelled documents are kept rather than erased, so your records stay auditable. When you ask us to delete your account, we remove or anonymise your data except where we are legally required to hold it.

8. Your Rights & Choices

  • Access & update: you can review and edit your profile, store, catalogue, customers, suppliers and records at any time from within the app.
  • Export: you can copy any report out of the app as CSV, and share invoices as PDFs, whenever you want.
  • Delete: you can delete individual records in the app, and you can request deletion of your whole account by contacting us below.
  • Notifications: you can turn off push notifications in your device settings at any time.
  • Data portability: you may request a copy of the data we hold about your account.
  • Withdraw consent: you can stop using the app and ask us to close your account at any time.

9. If You Run a Store

When you save a customer, add a supplier or issue an invoice, you are recording information about another person. In doing that you take on some responsibilities:

  • Only record details you have a genuine business reason to hold.
  • Tell your customers what you keep and why, if the law where you trade requires it.
  • Keep those details accurate, and remove them when you no longer need them.
  • Honour any request a customer makes to you directly about their own data.
  • Keep your login secure โ€” anyone with it can see everything in your account.

If one of your customers contacts us directly about data you entered, we will point them to you, since it is your record and you decide what happens to it.

10. Children's Privacy

OkDukan is intended for business and shopping use by adults. We do not knowingly collect personal information from children under 13. If you believe a child has provided us with personal information, please contact us and we will remove it.

11. Changes to This Policy

We may update this Privacy Policy from time to time to reflect changes to the app or applicable law. We'll update the "Last updated" date above when we do, and we will tell you in the app if a change materially affects how your data is handled. Continued use of OkDukan after a change means you accept the revised policy.
